About Contract Eagle

Introduction

Contract Eagle is a contract document management system and contract reminder system that organises your contracts into a safe and secure database, with email reminders sent out in advance of key contract dates. Even if you miss your email for some reason your milestone will not be forgotten because Contract Eagle will notice the oversight and email someone else.

Your customers and suppliers will soon become aware that you mean business, when you contact them early to renegotiate a renewal.

The assurance delivered by Contract Eagle is that you will never miss another contract milestone and never waste time trying to find your contract document. Your contracts are neatly organised into an intuitive searchable database, and will be visible to anyone who has been authorised. The system produces tidy bar-coded coversheets to attach to your hard copy, helping you to manage your files efficiently.

Configurable Database

The Contract Eagle database provides features to allow it to be customised to the needs of your business. Within Contract Eagle you may define:-

• the types of contracts you have.
• the user-defined-fields required, for each type of contract.Any user defined field is seamlessly attached to the contract and is reportable on screen or via the contract reporting menu.
• the help-messages that guide the user through the contract entry process.
• the authorisation rules for individual users and groups.
• business units, for interdepartmental privacy (Enterprise Licence Only).

Advanced Searching

Contract Eagle caters for large and small contract databases via its ability to switch between a simple search screen and an advanced search screen.

Search options available include:

• Contract ID - which is a sequential unique number, automatically allocated by the system
• Search word or phrase - will list all contracts containing the given word or phrase in any of its fields.
• Date - Including the ability to search before, after and between dates.
• Number / Value - Including the ability to search under, over or between values.

Auditing

All data changes, within the enterprise edition, are tracked and are available via audit reports in every screen.

Escalating Reminder Emails

The escalation mechanism built into Contract Eagle's email reminder system is an extra precaution, ensuring that your contract milestones will not be missed.

If for any reason, whether it be oversight or accident, you miss one of your reminder emails then Contract Eagle will send the reminder to the next person on the escalation list.

Enterprise Security Features

Whether you operate a small office with one or two computers or a large enterprise with thousands Contract Eagle has security capabilities to suit.

The security system is configurable according to the requirements of each organisation. The enterprise edition allows for the definition of business units, which has the effect of making contracts inaccessible to users from other business units. The key concepts of the security system are users, groups, business units and access privileges.

• Users may belong to security groups and business units. For each distinct business unit they may have access privileges granted or denied for specific menu options in Contract Eagle.
• Groups may have access privileges granted or denied, and these privileges are implicitly granted to every user belonging to the group.
• A business unit is a means to divide the information into secure groups that are inaccessible to users in other business units.
  • That security privileges may be granted on a per-business unit basis. Therefore any contracts you have entered under your business unit can be made completely invisible to users in another business unit.
  • That users can have different access levels to different business units. Eg. The ability to create contracts in one business unit but read-only access in another.

Web Browser Based System

The user interface has been designed specifically for use within Microsoft Internet Explorer versions 6.0 or above, Mozilla Firefox versions 1.0 or above, and Netscape Navigator versions 7.0 or above.

Even if you are managing as few as 20 contracts you would be likely to benefit from an electronic contract database such as Contract Eagle because, even though it is easy for you to manually keep control of 20 contracts, there is still risk that you might suffer from staff turnover, accident or critical illness. When it comes to retaining the intellectual property maintained by individuals you are best protected if there is an incumbent system for maintaining your contract documents.
